How to Create Email Templates in Zoho CRM and Use Them Successfully
To create an email template in Zoho CRM, open the Templates area, create a new email template, enter a subject and body, add merge fields where you want personalization, save it, and then insert it into an email to confirm it works. The exact menu labels can vary a little by Zoho CRM layout or edition, but that is the basic flow.
Before you start in Zoho CRM
Before you build the template, make sure you have permission to manage templates. If your account role doesn’t allow that, you may be able to view templates but not create one.
You should also know which module the template is for, because Zoho CRM templates are usually tied to a record type such as Leads, Contacts, Accounts, or another module your setup uses. A template for a lead follow-up can be different from one for an existing customer.
A quick precheck helps:
- Confirm you can access the Templates area in Zoho CRM.
- Decide which module the template should serve.
- Gather the wording you want for the subject line and body.
- Decide which fields should be personalized, such as first name, company name, or deal name.
If you are not sure which merge fields are available in your account, open the template editor first and check the field picker there. That keeps you from writing copy you cannot personalize later.
Create a new email template
- Open Zoho CRM and go to the area where templates are stored. In many setups, you’ll find this from the main menu under
Setup, thenTemplates, thenEmail Templates.
- Choose the module or category you want the template to belong to, if Zoho asks you to pick one. This matters because the available merge fields usually depend on the module.
- Click the option to create a new template.
- If Zoho CRM offers a choice between a blank template and an existing layout, pick the one that matches your goal. A blank template is best when you want full control. An existing layout can save time if you only need to change the wording.
- Give the template a clear internal name so you can find it later in the list. Use a name that tells you what it is for, such as a welcome email, follow-up after demo, or renewal reminder.
After this, the editor should open and you’ll be ready to write the actual email content.
Write the template content people will actually use
Start with the subject line. Keep it short, direct, and specific to the email’s purpose. The subject should make sense on its own and should not depend on the body text to explain what the message is about.
Then write the body of the email. This is where you add the greeting, main message, and closing. Use plain language that fits the situation. If the template is for first contact, keep the tone lighter. If it is for a billing or renewal message, keep it clearer and more direct.
Add personalization with merge fields or placeholders where needed. In Zoho CRM, these usually let you pull values from the record, such as a contact’s first name or company name. In the editor, look for the merge field picker and insert the field you want rather than typing a placeholder by hand.
Use merge fields sparingly and only where they make the message better. Good spots are the greeting, company name, deal name, or a relevant date. Avoid stacking too many placeholders in one sentence, because that can make the email feel awkward if a field is empty.
Before you move on, read the whole template once as if you were the customer. Check that the subject matches the body, the tone fits the message, and every placeholder makes sense in context.
Save it and test that it works
- Click the save option in the template editor.
- Return to the email templates list and confirm the new template appears there under the name you gave it. That is the quickest sign that Zoho CRM stored it correctly.
- Open a record in the module you chose, then start an email from that record and select the template you just created.
- Check the inserted email before sending it. Make sure the subject shows up correctly, the body text appears as written, and the merge fields fill with real data from the record instead of staying blank or showing raw placeholder text.
- If available in your setup, use preview or send a test message to yourself first. This helps you catch spacing issues, missing fields, or wording that sounds fine in the editor but not in a real email.
If the template appears in the list and inserts into an email with the right content, you have confirmed that it was created successfully and is ready for use.
Common template mistakes to avoid
A few small mistakes cause most first-time template problems.
- Saving the template in the wrong module area. If you create it for Leads but try to use it on Contacts, it may not show up where you expect.
- Leaving the subject too vague, such as
Follow-uporHello. A clear subject makes the template more useful. - Using too many merge fields without checking whether they’re available for that module.
- Forgetting to verify the template after saving. If it is not visible in the list, it may not have saved the way you expected.
- Writing body text that only works in the editor, not in a real customer email.
If a template does not insert correctly, start by checking the module, the selected record, and whether the merge fields have real data behind them. That usually tells you where the problem is without changing the whole template.
