How to add users in Pipedrive and get the invite through

To add a user in Pipedrive, open the user management area in your account settings, invite the person by email, and assign their role or access level. You’ll need the right admin permissions, and your plan may limit how many users you can add. After the invite is sent, the new user has to accept it before they show up as active in your user list.

Before you start in Pipedrive

You need access to the account as an admin or another role that can manage users. If you only have a regular team member seat, you may be able to view some settings but not add people.

The user management area is usually under settings and may be labeled Users, Company settings, or something similar depending on your plan and interface version. If you do not see a user-management option, that usually means you do not have the right permissions or your plan has reached its user limit.

Before you start, make sure you have:

  • The new user’s correct email address
  • The role or access level you want to assign
  • An available user seat, if your plan limits the number of users

Add the user from the account settings

  1. Open your Pipedrive settings or account settings.
  1. Go to the area where users or company settings are managed.
  1. Choose the option to add or invite a user.
  1. Enter the person’s email address carefully. The invitation is sent to that address, so a typo will send it to the wrong inbox or nowhere useful.
  1. Select the user role or permissions that match what you want them to be able to do.
  1. Check the details, then send the invite.

When the invite goes out successfully, Pipedrive should show the user as invited or pending instead of active. If your account uses seat limits or approval rules, you may not be able to finish the invitation until there is an open seat or an admin approves the action.

What the new user has to do next

The new user needs to open the invitation email and accept it. They may also need to sign in or create their login, depending on how your Pipedrive workspace is set up.

If they do not accept the invite, they will not appear as an active user yet, even if you already sent the email. So when you confirm the addition, check for acceptance, not just that the message was sent.

If the invite doesn’t show up

If the new user says they never got the email, check these items first:

  • Confirm the email address was entered exactly right.
  • Ask them to check spam, junk, promotions, and other filtered folders.
  • Resend the invitation from the user management area if Pipedrive gives you that option.
  • Check whether your account has reached its user limit.
  • Check whether an admin approval step is required before the invite can be sent or accepted.

If the invite still does not arrive after those checks, review your workspace settings and email filters or ask the workspace admin to review the user-management rules. The exact message varies, so use the current Pipedrive settings in your account to confirm what is blocking the invite.

Frequently Asked Questions

How can I confirm the user was added successfully in Pipedrive?

Open the user management area and look for the person in the active users list. If they are still marked as invited or pending, the email was sent but not yet accepted. Once they accept, their status should change to active or the equivalent label in your workspace.
