How to create email templates in Pipedrive quickly
To create an email template in Pipedrive, open the email area, start a new template, give it a clear name, add the subject and message, and save it. If your plan or setup supports it, you can also insert personalization fields so you don’t have to retype a contact’s details each time.
What you need before you start
Before you create a template, make sure you can send email from Pipedrive and that your account lets you access email templates.
Check these basics first:
- You’re signed in to the right Pipedrive account.
- Your email sync or email composer is available in your setup.
- You have permission to create and use templates. In some accounts, this depends on your role or plan.
- If you want personalization fields, confirm that those fields are available in your account and that your plan supports them.
If you don’t see the template options, check your permissions, email sync settings, or plan features first. The exact menu can vary by setup.
Create a new email template
- Open the email area in Pipedrive.
Go to the place where you normally compose emails. In many setups, the template option is available from the same email screen.
- Open the templates area.
Look for the email templates option in the composer or in your email tools. If you already have a template library, open that area.
- Start a new template.
Choose the option to create a new template. Pipedrive should open a blank template editor.
- Give the template a clear name.
Use a name that tells you when to use it, such as New lead follow-up instead of something vague like Email 1.
- Add the subject and email body.
Write the message you want to reuse or paste it into the editor. If the template editor includes a subject field, add a subject that fits the message so you don’t have to type it again later.
- Insert personalization fields if your setup supports them.
Place the fields where the details should change from one recipient to another, such as a contact name, company name, or deal field. Use the field insertion option in the editor if Pipedrive provides one in your setup. If you don’t have that option, keep the text generic and edit it by hand before sending.
- Save the template.
Use the save action in the template window. When it saves correctly, the template should appear in your templates list or library.
Open and use the template when you compose an email
- Start a new email from Pipedrive.
Open the email composer for the contact or record you want to message.
- Insert the saved template.
Choose the template option and select the template you just created. The saved subject and body should fill into the email.
- Check the filled-in details before sending.
If you used personalization fields, confirm that they show the right contact data for that record. If a field is blank, the contact record may not have that detail saved yet.
Save it and confirm it’s ready to send
- Check that the template appears in your templates list after saving.
That confirms Pipedrive stored it in the template library.
- Open a draft email and insert the template again.
Make sure the subject and body populate the way you expect.
- Preview the message before sending.
Check the formatting, links, and personalization fields. If anything looks off, edit the template and save it again.
When it’s ready, you should be able to open the template from the composer, see the saved content load in the draft, and send the email without rebuilding it from scratch.
