How to connect HubSpot to Mailchimp and confirm it works

To connect HubSpot to Mailchimp, make sure you can sign in to both accounts and that you have permission to add integrations or authorize connected apps. You can usually start the setup from either HubSpot or Mailchimp, then approve access and choose the exact account or portal you want linked. After that, verify the connection with a test contact or campaign update so you know data is actually syncing, not just that the setup screen accepted your login.

Before you start connecting the accounts

Before you begin, confirm that you can access both accounts and that you have permission to add integrations or connect apps. If you only have limited user access in either tool, the connection may fail or the integration may appear without syncing the data you expect.

Check for these items first:

  • A HubSpot account you can log into with permission to manage integrations or connected apps
  • A Mailchimp account you can log into with permission to authorize third-party access
  • The correct business account in each tool, if you manage more than one
  • Any lists, audiences, or contact properties you want to keep aligned

If your team uses multiple HubSpot portals or multiple Mailchimp accounts, decide which ones should be linked before you start. Connecting the wrong account is one of the easiest mistakes to make, and it can be annoying to unwind later. If you are not sure which account should be linked, stop here and confirm that with the person who owns the data flow.

Connect HubSpot to Mailchimp step by step

You can start the connection from either HubSpot or Mailchimp. The exact menu names can change, so if you do not see the label you expect, check the current integration area in the product you started from.

  1. Open the integration area in the app you want to start from.

In HubSpot, look for the integrations or connected apps area in the settings. In Mailchimp, look for the apps or integrations area in account settings. If you manage more than one account, make sure you are in the right portal or business account before you continue.

  1. Find the other app by name.

If you started in HubSpot, search for Mailchimp. If you started in Mailchimp, search for HubSpot.

  1. Choose the connection option and sign in when prompted.

Approve the authorization request with the account that should control the sync. If you manage several accounts, double-check the account name before you accept, because the login you use is not always the account that gets linked.

  1. Review the permission screen and confirm access.

The app should show what data it wants to read or write. Read that screen carefully before you approve it. If the permissions look wrong, stop and back out instead of forcing the connection.

  1. Finish the setup flow and save the selected account.

If the setup asks you to choose an account, audience, or portal, pick the exact Mailchimp account or HubSpot portal you meant to link, then save the setup.

  1. Wait for the first sync to complete.

The first pass may take a little time, especially if the accounts already contain a lot of contacts. Do not assume the setup failed just because the data is not visible immediately in the destination app.

Check what data will sync

Connecting the apps does not always mean every contact field, list, and campaign detail will move automatically. During setup, review what will sync and what needs to be matched between the two systems.

Review these items during setup:

  • Contacts or subscribers that should flow between the tools
  • Lists, audiences, or segments the sync should use
  • Field mapping for shared properties such as name, email address, company, or custom fields
  • Any direction settings, if the integration lets you choose one-way or two-way sync

If you use custom fields, check them carefully. A field named one thing in HubSpot may not match a field in Mailchimp without mapping, even if the data looks similar. If you track a lead source in HubSpot and want it to appear in Mailchimp, confirm that both platforms point to the same kind of field, not just a similarly named one.

If the setup screen offers list selection or audience selection, choose the one that matches your actual sending process. This is the part people often skim, then wonder later why the sync worked but the data landed somewhere they never use.

Confirm the integration worked

The quickest check is to confirm that the connection shows as active in the integration area of whichever app you used to start the setup. That tells you the authorization succeeded, but it does not by itself prove that data is syncing the way you want.

To verify the sync itself, use one of these checks:

  • Add or update a test contact in HubSpot and look for it in Mailchimp where your sync sends contacts
  • Create a test contact or subscriber in Mailchimp and confirm it appears in HubSpot if your setup is meant to sync that direction
  • Check the connected account details to make sure the correct Mailchimp audience or HubSpot portal is attached
  • Review the most recent sync status, if the integration shows one

A clean test is better than guessing. For example, add a contact with an email address you control, then check whether that contact appears in the destination system with the expected fields. If the contact shows up but a custom field does not, the connection worked, but the mapping needs another look.

The result you want is simple: the integration page shows the accounts linked, and your test contact or update appears where you expected it to appear.

If the connection option is missing or nothing syncs

If you cannot find the connection option, start with permissions. Limited users often can see parts of the settings area but cannot install or authorize integrations. Sign in with the account that has integration or admin access, then check the current integration pages in HubSpot and Mailchimp again, since menu names and locations can change.

If the connection appears to succeed but nothing syncs, check these likely causes:

  • You linked the wrong HubSpot portal or the wrong Mailchimp account
  • The sync is pointed at a different list, audience, or segment than the one you are watching
  • Field mapping was not completed for the data you expected to move
  • The first sync has not finished yet
  • The contact you tested does not meet the sync rules for that integration setup

If the option is present but grayed out or missing inside your account, refresh your browser, sign out and back in, or try the app from the account that owns the integration settings. If you still cannot find it, check the current HubSpot and Mailchimp integration pages to confirm where the setup lives now, because the path can vary by product version and account type.

Stop and disconnect the link if you realize you connected the wrong account or audience. It is better to stop early than to keep testing against the wrong destination and create a cleanup job for yourself later.
