How to Connect HubSpot to Zapier and Confirm It’s Working
To connect HubSpot to Zapier, start inside Zapier, choose HubSpot as the app, and authorize access to the HubSpot portal you want to use. Once the right account is approved, Zapier should show HubSpot as connected in the account selector. After that, run a simple test Zap to confirm the connection works before you build anything more complex.
What you need before you start
Before you begin, make sure you can sign in to both accounts.
- A Zapier account with permission to create Zaps.
- Access to the HubSpot account you want connected, not just a different portal you happen to use.
- The correct HubSpot login for that portal.
- Permission in HubSpot to authorize third-party apps or connected apps, if your account uses restricted settings.
If you work in more than one HubSpot portal, confirm which one you want to connect before you start. A common mistake is signing in with the right email address but authorizing the wrong portal. If you are not the account owner or a super admin, you may run into permission blocks when Zapier asks to access contacts, deals, companies, or other records. In that case, you may need an admin to approve the connection or adjust your HubSpot access first.
Connect HubSpot in Zapier
- Sign in to Zapier and start creating a new Zap.
- In the trigger step, search for and select HubSpot as the app.
- Pick the HubSpot trigger event you want to use, such as a new contact or deal event, depending on what you plan to automate.
- When Zapier asks you to choose an account, select the option to connect a new HubSpot account if one is not already listed.
- Sign in to HubSpot in the authorization window that opens.
- Review the access Zapier is requesting, then approve it if the account and portal are correct.
- Return to Zapier and wait for the connected account to appear in the account field.
If you are already signed in to more than one HubSpot account in your browser, pay close attention to the portal name shown during authorization. If you approve the connection on the correct portal, Zapier should show that HubSpot account in the dropdown or account selector without asking you to sign in again.
Test the connection with a simple Zap
Use a very simple test first so you can tell whether the connection works before building a full workflow.
- Keep HubSpot as the trigger app and choose an event that can be tested with an existing record, such as a contact or deal trigger.
- Click the test button in Zapier to pull in sample data from HubSpot.
- Add a basic action app, such as sending a message to yourself or creating a simple record somewhere else, so you can see whether Zapier can pass the HubSpot data forward.
- Run the test for the action step.
- If Zapier asks for a record to test with, choose one you know exists in the connected HubSpot portal.
A simple test is enough here. You are checking that Zapier can read from HubSpot and complete one basic action without error, not building the finished automation yet.
How to tell it worked
A successful connection usually shows up in a few places.
- The connected HubSpot account appears in Zapier’s account selector for that app.
- Zapier can pull sample data from HubSpot during the trigger test.
- The action step can run without an authorization or account error.
- The test result shows a passed or successful status, and you can see the sample record Zapier used.
If everything is working, you should be able to return to the Zap later and see HubSpot listed as the connected account instead of being asked to sign in again. When the test runs, Zapier should show the data it received from HubSpot and the outcome of the next step you configured.
If HubSpot won’t connect
If HubSpot does not appear in Zapier, or the connection fails, check the most likely blockers in this order.
- Confirm you are signed in to the right Zapier account.
- Confirm you are signing in to the right HubSpot portal, not another portal under the same email address.
- Try the connection again in a private or incognito browser window so an old login session does not send you to the wrong account.
- Check whether your HubSpot role can authorize app access. If your portal restricts connected apps or API-style access, an admin may need to approve it.
- Make sure you are not blocked by a company security setting, browser pop-up restriction, or SSO flow that interrupted the HubSpot sign-in step.
- If Zapier lists a previously connected HubSpot account, remove it only if you are sure it is the wrong one. Then reconnect the correct portal.
- If the app still will not appear, check Zapier’s app search for the exact HubSpot app entry and make sure you are starting the connection from inside Zapier, not from a copied old link.
If you are unsure whether the problem is account access or the app connection itself, stop before changing anything else. The safest next check is to verify which HubSpot portal you are trying to authorize and whether that user has permission to approve connected apps. That avoids disconnecting the wrong account or testing against the wrong portal.
