How to import deals in HubSpot and confirm it worked

sales spreadsheet on a laptop

To import deals into HubSpot, prepare a spreadsheet with one deal per row, then use HubSpot’s import tool to upload it, map each column to the right deal property, and choose the correct pipeline and deal stage. If your file is set up well, you can bring in owners, amounts, close dates, and associations without creating duplicates or losing field values. The exact menu path to the import tool can vary by account, so look for Import in HubSpot’s main navigation or settings menu.

Import the file into HubSpot

  1. Open HubSpot and go to the import tool.
  2. Start a new import.
  3. Choose deals as the record type.
  4. Upload your spreadsheet and continue.

If HubSpot asks what kind of file you are importing, choose the option that matches your spreadsheet rather than guessing. The exact wording can vary, but the goal is to get to the column-mapping screen with deals selected as the record type.

Match your columns to HubSpot deal fields

  1. Review each column on the mapping screen.
  2. Match every deal column to the correct HubSpot property, including deal name, pipeline, deal stage, amount, close date, owner, and any custom properties.
  3. Map association columns to the related record type, such as company or contact, if your file includes them.
  4. Check HubSpot’s automatic matches carefully and change anything that is mapped to the wrong property.
  5. Leave a column unmapped only if you are sure you do not want that data imported.

For owners, amounts, close dates, and associations, use the property that matches the value type in your spreadsheet. Owner names or emails need to land in the owner property HubSpot expects, amount should map to the amount field, close dates should map to the close date field, and association columns should point to the related object rather than the deal itself.

Choose the correct pipeline and deal stage

  1. Confirm that the pipeline column is mapped to the pipeline property.
  2. Confirm that the stage column is mapped to the deal stage property.
  3. Check that the values in your spreadsheet match the pipeline and stage options available in your HubSpot portal.
  4. Fix any mismatched values in the spreadsheet or on the mapping screen before you continue.

If your spreadsheet has separate columns for pipeline and stage, keep them separate. If it uses one combined field or a different naming convention, make sure HubSpot is still receiving a value it can place into the right pipeline and stage.

Review errors before you finish the import

  1. Read the import summary and look for warnings, errors, or unmapped fields.
  2. Open any row-level error details and check which records need attention.
  3. Correct the spreadsheet or the mapping if you see duplicate-looking rows, blank required values, or values HubSpot could not match.
  4. Go back and fix the source file before you finish if the same problem repeats across many rows.
  5. Complete the import only after the summary looks right.

If HubSpot flags a field you expected to import, do not assume the data is safe just because the file uploaded. Fix the column mapping or the source value first, then try again.

Finish and check that the deals came in right

  1. Open a few imported deals in HubSpot.
  2. Compare each deal against the spreadsheet.
  3. Confirm that the pipeline and deal stage are correct.
  4. Check that owners, amounts, close dates, and associations were populated the way you expected.
  5. Spot-check several records, not just one, so you can catch a mapping problem that affected only part of the file.

The import worked if the deals appear in the right pipeline, with the right stage and field values, and the related records are attached correctly.

What to do if something looks off

  1. Compare the imported records with the spreadsheet and identify the pattern.
  2. Look for duplicate rows, inconsistent formatting, blanks in required columns, or values that do not match HubSpot’s options.
  3. Recheck the column-to-property mapping, especially for pipeline, stage, owner, amount, close date, and associations.
  4. Fix the source file or the mapping, then import the corrected file instead of trying to patch every record one by one.

If the same issue shows up across many deals, the spreadsheet is usually the problem. Fixing it at the source is the fastest way to avoid importing the same error again.
