How to Create Tasks in Zoho CRM and Make Sure They’re Saved
To create a task in Zoho CRM, open the lead, contact, deal, or other record where it belongs, add a task from that record’s activity or related list area, fill in the required fields, and save it. When it’s saved correctly, you should see the task on the record and in the task list for the assigned user. The exact labels and button placement can vary by Zoho CRM setup, so check the record page you’re actually working in.
What you need before you start
Before you create the task, make sure you have:
- Access to Zoho CRM.
- Permission to create tasks.
- The record already open or selected, such as a lead, contact, deal, account, or another module record where you want the task to live.
If you can view the record but do not see a way to add a task, your profile, role, or record permissions may be limiting what you can do. In that case, an admin may need to check your access settings.
How to create a task step by step
- Open the record where the task should belong.
Go to the lead, contact, deal, or other module, then open the specific record. Starting from the record matters because that is what attaches the task to the right place.
- Find the task action on the record page.
Look for a Task tab, a Related Lists area, an Activities section, or an Add Task button or menu item. In some Zoho CRM layouts, the action sits near calls and events.
- Choose the option to create a new task.
Select Add Task, New Task, or the equivalent option in your setup. This opens the task form.
- Fill in the task details.
Complete the fields Zoho CRM asks for before you save. The exact form can vary, but the fields you usually need are:
- Subject or task name.
- Due date.
- Due time, if your setup uses time-based tasks.
- Owner or assignee.
- Priority, if available.
- Status, if your form includes it.
If your layout shows a description, note, or comments field, use it for the short context you want the assignee to see. Add enough detail that the next person knows what to do without guessing.
- Set the due date and time.
Pick the day the task should be finished. If the task needs to happen at a specific time, add the time as well. If your team works from the date only and the form allows it, leave the time off.
- Choose the priority.
Set the priority to match how urgent the task is. Use the level your team expects, such as low, medium, or high, if those options appear in your form.
- Assign the task to the right user.
Check the owner or assignee field carefully. If you leave the default owner in place and that is not the right person, the task can land in the wrong user’s list.
- Add a reminder or follow-up note if needed.
If Zoho CRM shows a reminder option, turn it on and choose when you want the reminder sent. If there is a note, description, or comments field, add a short follow-up note so the next person knows what to do. If your setup offers both a reminder and a note, use both when you need an alert plus context.
- Save the task.
Click Save or Save and Close. After that, the task should be attached to the record and available in the task view or activity list.
How to tell the task was created correctly
A saved task should show up in two places:
- On the record you opened, usually in the Tasks related list, activity panel, or timeline.
- In the global task list or task view for the assigned user.
Check that the task shows the right subject, due date, and owner. If you added a reminder, confirm that the reminder setting is visible on the task details page or in the task row, depending on your layout.
If the task appears on the record but not in the list you expected, make sure you are looking at the right view and the right user. A task assigned to another person may not appear in your personal task list unless you are viewing shared or team records.
Common details people get wrong
The most common mistake is leaving a required field blank. If Zoho CRM does not save the task, check for an empty subject, due date, or assignee field first.
Another common slip is assigning the task to the wrong user. This can happen when the form defaults to the record owner or your own name. Always check the owner field before saving.
People also confuse tasks with calls or events. In Zoho CRM, those are separate activity types. If you need a call reminder or a meeting entry, choose that activity instead of Task.
Menu labels can vary by Zoho CRM setup, module customization, and user permissions. You might see Tasks, Activities, Add Task, or a plus button in a different place than someone else does. If the record page looks different from this description, use the related activity area on that record and look for the task option there.
If the task does not show up where you expected after saving, check these points in order:
- You saved the form successfully.
- The task is attached to the correct record.
- The assignee is the user you expected.
- You are looking at the right module or task view.
- Filters or list views are not hiding it.
If it still does not appear, your Zoho CRM setup may use a customized layout or permission rule that changes where tasks are visible. Check the current Zoho CRM help for your edition or ask your admin to confirm the layout and sharing settings.
