How to Create Tasks in Pipedrive and Keep Them Saved
To create a task in Pipedrive, open the **Activities** area or the deal, person, or organization the task belongs to, then add a new activity and save it. Fill in the task title, activity type, due date and time, assignee, and the related record before you save. After that, confirm it shows up in your Activities list and on the record you linked it to.
What you need before you start
Before you create the task, make sure you can sign in to your Pipedrive account and that your user role can create activities. If you can’t add activities, an admin may have restricted that permission.
Have the right record ready so you can link the task to the correct place:
- a deal, if the task belongs to a sales opportunity
- a person, if the task belongs to a contact
- an organization, if the task belongs to a company record
It also helps to know who should own the task, what kind of activity it is, and when it should be due. If you have those three details before you start, the form is quick to complete.
Create the task in Pipedrive
- Open the place where you want to create the task.
Go to the main Activities area if you want to create it from the activity list, or open the deal, person, or organization record if you want to attach it there right away.
- Start a new activity.
Look for Add activity or New activity. On a record page, you may also find the option in the timeline or activities panel.
- Enter a clear task title.
Use a short name that tells you what needs to happen. Call Acme about renewal is easier to scan later than Follow up.
- Choose the activity type.
Select the type that best matches the work, such as call, meeting, lunch, or another activity type your account uses. The exact list depends on how your Pipedrive account is configured.
- Set the due date and time.
Pick the day the task is due. If it needs to happen at a specific time, add that too. If your setup allows date-only activities, you can leave the time blank.
- Assign the task to the right person.
Choose the Pipedrive user who should own the activity. If it’s for you, assign it to your own user. If someone else should handle it, assign it to that person so it appears on their list.
- Link the task to the correct deal, person, or organization.
If you started from a record, this may already be filled in. If you started from the Activities page, use the related record fields to connect it now. This is what keeps the task tied to the right item.
- Add any extra details you need, then save.
You may see fields for notes, location, or reminders depending on your setup. Fill in only what helps you use the task later, then click Save, Add activity, or the button your interface shows.
Check that it was created correctly
After you save, open the activity you just created and confirm the title, assignee, due date, and time are correct. Then check that it appears in the Activities list and, if you linked it to one, on the related deal, person, or organization.
If you created it from a record page, look in that record’s activity or timeline area. If you created it from the main Activities page, make sure you are viewing the right owner, date range, and activity type so the new item isn’t hidden by a filter.
If you don’t see the task after saving
Start with the most likely causes first.
- Check the filters in Activities. A user filter, activity-type filter, or date range can hide the new task.
- Confirm you saved it to the right deal, person, or organization. If it was linked to the wrong record, it may be saved but not where you expected.
- Make sure you’re looking at the right owner. If the activity was assigned to someone else, it may appear on their list instead of yours.
- Confirm the due date. A task set for another day may not appear in the view you’re checking.
- Look at the activity type you selected. If you chose a different type than intended, it may be grouped somewhere else.
- If your permissions are limited, you may not be able to see every record the activity is attached to.
If none of those checks explain it, reopen the related record or the Activities list and search for the task by its title. That usually shows whether it was saved under a different filter, owner, or record than the one you were checking.
